1. Generates and Tracks Contracts

Based upon your selections, Voce will generate the actual Contract, as well as the accompanying Exhibit A, which lists all corresponding Properties.  A mild workflow allows you to track your Contracts at every step of the way, including approval/disapproval by managers.

2. Track Key Deadlines for Agents

Instead of Agents asking you about key deadlines, the first screen they’ll see when they open Voce is their Home screen, which lists Protests, Protests Not Scheduled, Values Not Set, Litigation/Arbitration Tasks and Hearings, scoped just to them. However, those like you in the Admin role can choose to view the same info for any Agent, should there be questions.  With one click, they (or you) can jump to the applicable Property or, in the case of Hearings, additionally jump to that Hearing on the Agent Calendar.

3. Invoice Charges as They Become “Ready to Bill”

When you set up your Contracts and Contract Fees, you associate them with Properties.  Therefore, as certain rules are met, such as the crossing over of a particular date or the setting of a Final value for a Property, the applicable charges automatically become “Ready to Bill”.  You don’t have to chase them down, nor do you have to worry about missing a charge.  You simply navigate to the “Ready To Bill” area, select those Contract Fees you want to invoice and then invoice them.  You can print out invoices and/or email them to any Contacts for that Client, with those Contacts earlier tagged as Billing Contacts automatically selected.  Later, if you need to re-email an invoice, you can do that, too.

4. Automatic Appointment of Agent Generation

The creation of Appointment of Agent forms (also known as Fiduciary Statements or “FIDs”) is a necessary, but time-consuming activity, which constitutes a notable percentage of your time throughout the year.  Voce’s automatic FID generation capability allows you to significantly cut your time spent on this activity or passes it to someone with less experience than you.  Search within the Properties for the current Client on Appraisal District and Deed Owner for those that you desire to generate FIDs. Over the course of any given day, you receive a lot of requests for Client information, whether from the related Agent or directly from the Client.  Why not give your Clients the ability to serve themselves via a browser from anywhere at any time of day, via the Voce’s Client Portal?  Securely accessible only for those Client Contacts you specify, the Client Portal allows your Clients to view all their Properties (including values, tax calculations and protest status), Contract information, Invoices, Reports and more.  The Client Portal can also be branded so that your Clients see it as an extension of your brand, not ours.  It is also the hub where, in the very near future, your Clients will be able to sign up, drop off and pick up documents and much more.
